Privacy Policy & POPIA Notice

This notice explains how MyEventsHub (a product of SportsTrainerConnect) processes personal information under the Protection of Personal Information Act, 4 of 2013 (POPIA). It is written to be read alongside the MyEventsHub Terms & Conditions. This is a template based on our current services and should be reviewed by a South African attorney before being relied on as a final, binding policy.

1. Who is the Responsible Party?

SportsTrainerConnect, trading as MyEventsHub ("we", "us", "the Platform"), is the Responsible Party as defined in POPIA for the personal information it processes to operate the Platform (accounts, billing, and platform administration). For information submitted when entering a specific event, the Event Organiser is typically the Responsible Party for that data (they decide who may compete and what the event requires), and MyEventsHub acts as an Operator processing it on the Organiser's behalf to run entries, draw sheets, live results and payment collection.

Many events run on MyEventsHub include competitors under 18. Where a competitor is a minor, the entry must be submitted by, or with the explicit consent of, their parent or legal guardian, in line with POPIA's special protections for children's information (POPIA sections 34-35). By submitting a minor's entry, the parent/guardian confirms they have the authority and have consented to the processing described in this notice, including the minor's name, age, category and results being made public as described below.

7. Cross-border processing

Paystack and Cloudflare may process or store information outside South Africa as part of providing payment and streaming services. Where this happens, we rely on the safeguards required under POPIA section 72 (including that these providers are themselves subject to data protection laws or contractual obligations providing an adequate level of protection).

8. How long do we keep your information?

We retain entry, results and payment information for as long as your account is active, and thereafter for as long as needed to meet our legal, tax and dispute-resolution obligations, or as agreed with the relevant Organiser/federation for historical event records.

We use reasonable technical and organisational measures appropriate to the nature of the information processed, to protect it against loss, unauthorised access, interference or disclosure, as required by POPIA's security safeguard conditions.

11. Is providing your information mandatory?

Providing the information requested at entry is voluntary, but if you do not provide it, you (or the competitor being entered) will not be able to enter or take part in the event. ID/ identification numbers are only required where the specific event's rules make them necessary for eligibility verification.
