1. Who is the Responsible Party?
SportsTrainerConnect, trading as MyEventsHub ("we", "us", "the Platform"), is the Responsible Party as defined in POPIA for the personal information it processes to operate the Platform (accounts, billing, and platform administration). For information submitted when entering a specific event, the Event Organiser is typically the Responsible Party for that data (they decide who may compete and what the event requires), and MyEventsHub acts as an Operator processing it on the Organiser's behalf to run entries, draw sheets, live results and payment collection.

3. What personal information do we process?
Depending on how you use MyEventsHub, we process:
- Competitors/entrants: first name, surname, date of birth, age, gender, nationality/country, mobile number, email address, club or organisation affiliation, discipline/category entered, division/weight class, and (where the discipline requires it) weight and height.
- Identification information: South African ID number or passport number, where an Organiser's event requires it for age or eligibility verification.
- Payment information: proof of entry-fee payment, payment method, payment reference and payment status. MyEventsHub does not store your full card details - these are processed directly by our payment processor, Paystack.
- Organiser/billing information: for Organiser accounts - organisation name, contact details, banking details for fee payouts, and (where invoicing is required) tax/registration details.
- Event-day information: match results, scores, rankings, and (if the event is live-streamed) video footage of your participation.
4. Children's personal information
Many events run on MyEventsHub include competitors under 18. Where a competitor is a minor, the entry must be submitted by, or with the explicit consent of, their parent or legal guardian, in line with POPIA's special protections for children's information (POPIA sections 34-35). By submitting a minor's entry, the parent/guardian confirms they have the authority and have consented to the processing described in this notice, including the minor's name, age, category and results being made public as described below.
5. Why we process your information, and on what legal basis (POPIA section 11)
- Creating and administering your MyEventsHub account - necessary for a contract with you.
- Submitting your event entry to the Organiser, and generating start lists, draw sheets/brackets, mat or venue schedules and results - necessary for a contract with you.
- Collecting and processing your entry fee payment via Paystack, and paying the Organiser their share (95%) after our 5% platform fee - necessary for a contract with you and compliance with a legal obligation.
- Publishing start lists, draw sheets/brackets, live results and rankings on the public event page - necessary for a contract with you (this is a core part of how the event is run).
- Live-streaming the event, including any footage of your participation, and displaying sponsor/advertising banners around the stream - necessary for a contract with you, since live broadcasting is a feature of the event you have entered.
- Verifying age, weight or eligibility using your ID number or similar identifying information, where the Organiser's event requires it - necessary for a contract with you and the Organiser's legitimate interest in fair competition.
- Responding to queries and handling complaints - necessary for a contract with you and our legitimate interest in resolving disputes.
- Sending you event updates, schedule changes or receipts - necessary for a contract with you.
- With your consent, sending you marketing about future events - your consent, which you can withdraw at any time.
- Complying with tax, financial and other legal obligations - compliance with a legal obligation.
- Preventing fraud and enforcing our Terms & Conditions - our legitimate interest.
6. Who can access your information?
- The Event Organiser for the event(s) you enter.
- The public - your name, club, category and results are ordinarily published on start lists, draw sheets/brackets and results pages, and may appear on a live stream, since this is how competitive events are run and judged.
- Paystack, our payment processor, to collect and process entry fee payments.
- Cloudflare, our live-streaming infrastructure provider, to deliver the live video stream.
- SportsTrainerConnect staff who administer the Platform.
- Any authority we are legally required to disclose information to.
7. Cross-border processing
Paystack and Cloudflare may process or store information outside South Africa as part of providing payment and streaming services. Where this happens, we rely on the safeguards required under POPIA section 72 (including that these providers are themselves subject to data protection laws or contractual obligations providing an adequate level of protection).
8. How long do we keep your information?
We retain entry, results and payment information for as long as your account is active, and thereafter for as long as needed to meet our legal, tax and dispute-resolution obligations, or as agreed with the relevant Organiser/federation for historical event records.
9. How is your information protected?
We use reasonable technical and organisational measures appropriate to the nature of the information processed, to protect it against loss, unauthorised access, interference or disclosure, as required by POPIA's security safeguard conditions.
10. Your rights under POPIA
You have the right to:
- Request access to the personal information we hold about you;
- Request correction of inaccurate or outdated information;
- Request deletion of personal information we are no longer entitled to keep;
- Object to processing carried out on the basis of legitimate interest;
- Withdraw consent previously given, where processing relies on consent;
- Lodge a complaint with the Information Regulator (South Africa) if you believe your information has been processed unlawfully.

11. Is providing your information mandatory?
Providing the information requested at entry is voluntary, but if you do not provide it, you (or the competitor being entered) will not be able to enter or take part in the event. ID/ identification numbers are only required where the specific event's rules make them necessary for eligibility verification.
12. Automated decision-making
We do not use your personal information for automated decision-making or profiling.
