These Terms apply to anyone using MyEventsHub, a product of SportsTrainerConnect, to organise or enter competitive sporting events - including martial arts, gymnastics, athletics, and any other sport where participants compete against one another. They should be read together with our Privacy Policy & POPIA Notice. This is a template based on our current services and should be reviewed by a South African attorney before being relied on as a final, binding agreement - particularly the risk/liability section below.

By creating an account, registering an Event, or submitting an entry through MyEventsHub, you agree to these Terms. If you are entering, or entering someone else, on behalf of a club, federation or organisation, you confirm you are authorised to do so.

III. Eligibility and minors

MyEventsHub is used to run events with competitors of all ages. Where a Competitor is under 18, their entry must be submitted by, or with the express consent of, a parent or legal guardian, who accepts these Terms on the minor's behalf, including the risk acknowledgement in Section VIII below.

IV. Organiser accounts & responsibilities

  1. The Organiser is responsible for the rules, safety, judging, officiating and day-to-day running of their Event. MyEventsHub provides the technology platform only, and is not the Organiser of any Event unless expressly stated otherwise.
  2. The Organiser is responsible for setting an accurate Entry Fee, discipline/division structure, and eligibility rules (including any ID or age-verification requirements) for their Event.
  3. The Organiser is responsible for arranging appropriate medical/first-aid cover, venue safety and insurance for their Event, as required by their sport's governing body and applicable law.

V. Entries, data submitted, and public results

  1. To enter an Event, a Competitor (or the person entering them) must submit the information requested by the Organiser, which may include name, date of birth, gender, nationality, club affiliation, discipline/category, and, where required for eligibility or weight-based divisions, an ID/passport number, weight and height.
  2. Start lists, draw sheets/brackets, schedules and results are published on the public Event page as a normal part of running the Event, and may also appear on any live stream of the Event.
  3. Anyone entering a Competitor other than themselves (e.g. a coach or parent entering multiple competitors) confirms they have the necessary consent to submit that person's information and to have it processed and published as described in these Terms and our Privacy Policy.

VI. Fees & Payments

  1. Entry Fees are set by the Organiser and paid by the Competitor through MyEventsHub's payment processor, Paystack (or another provider we may use from time to time), or by another method the Organiser makes available (e.g. EFT or cash, where supported).
  2. MyEventsHub automatically retains a 5% Platform Fee from each Entry Fee collected through the Platform. The remaining 95% is paid to the Organiser.
  3. The Platform Fee is charged for use of the Platform and is non-refundable once an Entry Fee has been successfully processed, except where required by law.
  4. Refunds of the Competitor's portion of the Entry Fee (the 95% paid to the Organiser) are at the Organiser's discretion, in line with the Organiser's own published refund policy for that Event. MyEventsHub is not responsible for an Organiser's refund decisions.
  5. Where entry fees are collected on behalf of an Organiser, MyEventsHub will pay out the Organiser's share in line with the payout terms agreed at sign-up.

VII. Live broadcasting, photography, sponsor banners & publicity

By entering an Event that is live-streamed, you consent to being filmed, photographed and broadcast as part of your participation, including alongside sponsor strips and scrolling banner advertising that may appear on the stream. If you do not wish to be filmed, you must raise this with the Organiser directly before the Event, as MyEventsHub does not control individual camera operation on the day.

VIII. Assumption of risk

Competitive sport carries an inherent risk of injury. By entering an Event, the Competitor (or their parent/guardian, if a minor) acknowledges this risk and agrees that neither MyEventsHub nor SportsTrainerConnect is responsible for injuries, loss or damage arising from participation in, or attendance at, an Event. Responsibility for the safe running of the Event, including medical cover and officiating, rests with the Organiser and any applicable sport governing body, not with MyEventsHub.

IX. Event changes & cancellation

Organisers may change an Event's schedule, draw sheets, disciplines or venue, including rolling unfinished matches/routines over to a later cut-off time or the next event day. If an Organiser cancels an Event entirely, any refund of Entry Fees is subject to the Organiser's own policy; the Platform Fee already processed is non-refundable except where required by law.

X. Data protection (POPIA)

Personal information submitted through MyEventsHub is processed as described in our Privacy Policy & POPIA Notice, in line with the Protection of Personal Information Act, 4 of 2013.

XI. Complaints

Complaints about the Platform (not about an individual Event's judging or officiating, which should be raised with the Organiser) can be sent to info@SportsTrainerConnect.net. We aim to respond within 14 days.

XII. Suspension & termination

We may suspend or terminate an account that breaches these Terms, provides false information, or is used fraudulently, after reasonable notice where practical, or immediately where there is a risk of harm to the Platform, an Event, or another person.

XIII. Limitation of liability

To the maximum extent permitted by law, MyEventsHub and SportsTrainerConnect's liability arising from use of the Platform is limited to the Platform Fees received in respect of the Event giving rise to the claim. Nothing in these Terms limits liability that cannot lawfully be excluded under South African law, including the Consumer Protection Act, where it applies.

XIV. Governing law

These Terms are governed by the laws of the Republic of South Africa, and the parties submit to the jurisdiction of the appropriate South African courts, subject to any rights that cannot lawfully be excluded.

XV. Changes to these Terms

We may update these Terms from time to time. Changes take effect once published on this page, and do not affect entries already submitted before the change.
